About the Assignment
This assignment focuses on providing structured, high-quality administrative support at programme and management level. You will play an important role in ensuring smooth coordination across meetings, events, travel, purchasing, and day-to-day programme operations.
You will work broadly across administrative processes and help create efficient ways of working, with a strong focus on accuracy, structure, and stakeholder support.
Job Description
- Plan, organise, coordinate, and support management meetings, organisational meetings, events, and similar activities.
- Prepare agendas, document meeting notes, and distribute clear summaries and action points to stakeholders.
- Provide general office and administrative support to ensure efficient day-to-day operations.
- Ensure facilities and programme resources are aligned with operational needs.
- Manage travel planning, bookings, and logistics for management and programme stakeholders.
- Support purchasing processes and handle invoices in line with internal procedures.
- Assist with expense reporting at management level, ensuring accuracy and timely administration.
- Coordinate logistics related to programme resources, including onboarding and offboarding activities.
- Define, implement, and maintain administrative policies and procedures to support consistency and efficiency.
Requirements
- Minimum of 3 years of relevant administrative experience.
- Strong proficiency in Microsoft Office tools, including PowerPoint and Microsoft Project.
- Fluent communication skills in English and Swedish, both written and spoken.
- Proven ability to multitask and manage multiple priorities in a structured and efficient manner.
- Strong attention to detail, particularly in note-taking and in producing clear and concise summaries.
- Ability to work independently while supporting a broader team.
Nice to have
- Experience working at a management or programme level.
